Check-Out Procedures

The following list summarizes the expectations for your move out of residence. Failure to comply with these procedures may result in a charge of $100.

You will be billed separately for any damages to your room/apartment. The amount charged will be determined by the cost of the repair.

If the payment is not received by the due date noted on the invoice, a charge for the damages will be placed on your Laurier student account and may be viewed by logging into your LORIS account.

Room Checks

In addition to the room checks completed upon move-in and move-out, Residence Life Dons will be conducting room checks following both the fall and winter reading breaks. This is a mandatory process to ensure the state of the rooms are in the same condition as move-in. Dons will schedule room checks with students prior to entering the room.

Early Withdrawal

All residency contracts are for the entire academic year, beginning on move-in day in September and concluding 24 hours after the resident’s final exam in April. Early withdrawals from residence are only considered in extreme cases. If you are considering moving out of residence, speak to your Residence Life Area Coordinator. Inquiries regarding possible refunds must be directed to the Residence Life Manager; refunds will not be provided when the residence contract is terminated due to a student’s breach of residence contract. Please be advised that Residence Life Dons will not accept or receive residence keys for any student withdrawing from residence prior the conclusion of the winter term exam period in April.

Check-Out Procedure

You are required to move out 24 hours after your final exam each semester.

If students are in need of an extension of residence, they must complete and submit the online Residence Extension Request Form by the stated deadline. Reasons for staying will be evaluated by the Residence Management Team.

Proper check-out procedure for the end of the year is crucial. Students must give their Residence Life Don a check-out time in advance and adhere to the time they have provided.

An improper check-out may result in a monetary fine. These can include but are not limited to:

  • Leaving without checking out with your Don.
  • Not returning your keys to your Don.
  • An unclean suite/room.
  • Broken furniture, damages, vandalism, etc.
  • Not arranging a check-out time with your Don.
If nothing is reported at the time of the damage, and no conduct process/residence follow-up can take place, residents assigned to that space will be financially responsible for all accidental property damage and/or vandalism to private rooms/suites.

Cleaning Checklists

Upon check out, you are expected to leave your room and/or apartment in a clean and tidy condition with all furniture present and in move-in condition. Any extraordinary cleaning or repairs will be charged to the occupant(s) of the room and/or apartment at the end of the contract period.

The checklist below is your reference guide to ensure expectations are met. If the residence room is not left in a satisfactory condition, you will be charged for damages and any additional cleaning required, as outlined in the Check-In/Check-Out form. Although the don will complete the check-out form noting any deficiencies in the room/apartment, the Department of Residence will determine if fines/charges will be invoiced.

If you are assigned to apartment-style accommodations, you are jointly responsible with the other occupant(s) of the apartment for damage, cleanliness or losses to the shared areas of the apartment. In some circumstances, you and other students in your building or section may be accountable for damage to that building or section. You will be invoiced for losses, damage, special cleaning or maintenance required as result of your period of residency.

If you are moving out of residence for any reason, you must complete a full and proper check-out. You are responsible for ensuring that your residence room is left in the same condition as when you moved in. This checklist summarizes the expectations for when you are moving out of residence.
