Updates regarding the new MyLS Email Experience – coming Spring 2024
As previously shared, ICT and Teaching and Learning are currently working to streamline the MyLearningSpace (MyLS) email experience. As part of this initiative, we will be:
- Updating the MyLearningSpace email client to use students’ primary email address, @mylaurier.ca
- Updating the MyLearningSpace email client to use faculty and staff’s primary email address, @wlu.ca
- Decommissioning @myls.wlu.ca accounts.
This means that @myls.wlu.ca email accounts are being retired, and you will no longer be able to access your @myls.wlu.ca email account or email messages after the switchover date.
To minimize any disruptions to classes and exams, the switchover to the new MyLS email experience is tentatively scheduled for May 2, 2024, pending successful testing with the vendor.
After this date, emails sent through MyLS will come from username@mylaurier.ca if you are a student and username@wlu.ca if you are a faculty or staff member. This means that you will only need to check one account to read your emails no matter if they were sent through Outlook or MyLS.
Sending email from MyLS is not going way!
You will still be able to send emails in MyLS after this transition to your professors, groups and classmates. If you would like to keep any messages from your @myls.wlu.ca account, forward them to your Laurier email address before May 2. After May 2, you will need to submit a request to retrieve any historical MyLS messages.
Stay Organized by Setting Up Outlook Inbox Rules
Consider setting up Outlook inbox rules to automatically sort and move your emails into folders. Emails sent from MyLS will have pre-filled course codes at the beginning of the subject line (subject, course number, section number). It is recommended that you keep this information in the subject line to easily organize and differentiate emails for different courses.
To set up an inbox rule:
- In the Outlook app, right-click the left folder pane and select 'New folder'. Name your folder using your class' course code (e.g. PS 101).
- Create a new inbox rule by selecting File > Manage Rules & Alerts > New Rule (or select the Settings gear icon in the top-right corner of the window in the new version of Outlook for Windows).
-
- A) Give your rule a name.
- B) From the condition drop-down, select 'From'. Type 'myls@wlu.ca' as the sender and select the email address from the suggestions below the field.
- C) Select 'Add another condition'. From the second condition drop-down, select 'Subject includes'. In the 'Enter words to look for' field, enter your course code. Include your section number if applicable.
- D) From the 'Select an action' drop-down, select 'Move to'. In the 'Select a folder' field, select the folder name that corresponds with the course code that you entered in the 'Rule name' field and 'Subject includes' field. If you do not see the folder you're looking for in the drop-down, scroll to the bottom and select 'Move to a different folder' to show more options.
- E) Click Save. Repeat these steps for each of your courses.
*The instructions above mainly reference the classic version of Outlook. These setting names may differ if you are using the new version of Outlook for Windows, Outlook for Mac, Outlook on the web, or Outlook's mobile apps.
HOW TO SAVE COPIES OF YOUR MYLS MESSAGES
You can forward any MyLS emails you want to keep to your Laurier email address before May 2. After May 2, we will be keeping a historical record of all emails from MyLS incase it is needed for any academic misconduct concerns. If you need to request access, please submit a request.
