Check-Out Procedures

The following list summarizes the expectations for your move out of residence. Failure to comply with these procedures may result in a charge of $100.

You will be billed separately for any damages to your room/apartment. The amount charged will be determined by the cost of the repair.

If the payment is not received by the due date noted on the invoice, a charge for the damages will be placed on your Laurier student account and may be viewed by logging into your LORIS account.

Check-Out Procedure

  • Schedule a check-out appointment with your don. You are responsible for being present at the agreed-to time, and for being prepared for your check-out.
  • Ensure you have followed the cleaning checklist (see below).
  • Your room must be left in the same condition as when you moved in, and all furniture must be placed back into the same arrangement as it was on move-in day.
  • The don will be using the cleaning checklist while checking you out of residence. Dons will be inspecting for cleanliness, damages, and furniture placement.
  • All garbage must be disposed of in the proper locations (as noted on the cleaning checklists below).
  • Be sure that there is only one mattress on the bed. If for some reason there is more than one mattress, you are responsible for moving the extra mattress to the collection location (as noted on the cleaning checklists below).
  • Personal items and garbage are not to be left in your room, in common areas, in storage areas, in garbage collection rooms, in hallways or bathrooms, etc.
  • If you have rented a Coldex refrigerator, you are responsible for defrosting and cleaning your refrigerator in preparation for pick-up by Coldex after you have moved out. Please review the Coldex refrigerator return policies below.
  • The don will use your check-in form, completed with you on move-in day, as your check-out form. The don will complete the check-out form with you in the room.
  • You must sign the check-out form and take a copy for your records.
  • Hand in your residence keys to the Don. They will tag them and return them to the Residence office where they will be verified.

Coldex Refrigerator Returns

Your Coldex rental unit will be picked up directly from your residence room after you have moved out.

If you have moved rooms, or if for any reason your until is not in the room specified on your rental contract, you must advise Coldex via email.

Your Coldex rental unit must be clean, fully dry, and defrosted a minimum of 24 hours prior to pick-up, with the cord tied to the back of the unit. If the unit is not dry, you will forfeit your deposit. For cleaning and defrosting instructions, visit the Coldex website.

Deposits are mailed by cheque to the home address, or credited to the MasterCard or Visa on file, six to eight weeks following the date of pickup, only after the student has completed the Deposit Request Form.

Note that you will have vacated your room prior to your Coldex pick-up. Ensure that your unit is in your assigned room, as indicated on your rental contract. You must also ensure that your room is locked. The Department of Residence will facilitate entry for Coldex to collect the units.

To ensure prompt responses to any questions you might have, Coldex communicates exclusively through email.

Cleaning Checklists

If you are moving out of residence for any reason, you must complete a full and proper check-out. You are responsible for ensuring that your residence room is left in the same condition as when you moved in. This checklist summarizes the expectations for when you are moving out of residence.

  • Empty all contents of drawers, closets, and cupboards.
  • Wipe down all surfaces, removing any marks or substances.
  • Wipe cupboards, drawers, and closets with a damp cloth, removing any debris and dirt.
  • Carefully remove all tape and wall mounts from all surfaces, including sticky residue that might be left.
  • Items that were not present in the room on move-in day should not be left in the residence after check-out.
  • Wipe down sink, counter, and mirror.
  • In shared bathrooms, wipe down the sink, tub/shower, and all surfaces.
  • Sweep/vacuum all floors.
  • If you have rented a Coldex refrigerator, please review the Coldex refrigerator return policies above.
  • Remove all items from storage locations.
  • Ensure that there is only one mattress on your bed (see note below).
  • If your desk chair was placed in storage, make sure that it is returned to your room.
  • All garbage should be taken outside to garbage bins. No garbage is to be left in rooms, hallways, or in regular garbage collection areas (i.e. garbage rooms, lounges).
  • All furniture is to be placed back into the same arrangement as it was on move-in day.
  • The room is to be left in the same, clean condition as when you moved in.

Mattresses

Each residence bed must only have one mattress. If for any reason you have taken extra mattresses into your room, you are responsible for removing extra mattresses to their appropriate locations. Extra mattresses should be left in the bedroom, except for the following locations:

  • Bouckaert, Conrad, Leupold, Little House: 24-hour lounge.
  • Euler Residence: Basement of the stairs.
  • Macdonald House: Front lobby.
  • Waterloo College Hall: Basement beside laundry room.
  • Willison Hall: A-Wing basement landing in front of laundry room, or crossover lounge on second floor.

Common Areas

  • Empty all contents of drawers, and wipe with damp cloth removing any debris and dirt.
  • Sweep/vacuum all floors in common area.
  • Wipe down all surfaces with a damp cloth.
  • Remove/dispose of all food and kitchenware.
  • Clean out the fridge: empty all contents, and wipe interior and exterior down with a damp cloth, removing all substances.
  • Empty all garbage and recycling to the designated areas (see note below).
  • Items that were not present in the residence at move-in are not to be left in the residence after check-out.
  • Remove all items from storage locations.
  • All furniture must be placed back into the same arrangement as it was on move-in day.
  • The space is to be left in the same clean condition as it was when you moved in.

Garbage

Ensure that garbage is taken to the approved drop-off locations below. Garbage must not be left in your room, hallway, or in the regular garbage collection areas (i.e. garbage rooms, lounges).

  • Bricker Residence: Use garbage chutes as usual; any items too large should be taken to the first floor ramp area beside the bike room.
  • University Place and Regina Residence: Use outside bins as usual.
  • Marshall Street Apartments: Use first floor garbage room as usual.
  • Spruce Street Apartments: Use dumpster in parking lot.
  • King’s Court: Use chutes as usual; any items too large should be taken to the bin in the parking lot.
  • Expositor: Garbage bins in the basement as usual.
  • Post House: To the first thing in the morning, or after 6 p.m.
  • Grand River Hall: Use bins at the back of the building off Water Street as usual.
  • Lucy Marco Place: Use bins at the back of the building/parking lot as usual.

Mattresses

Each residence bed must only have one mattress. If for any reason you have extra mattresses in your room, you are responsible for removing them to the appropriate locations. Extra mattresses should be left in the bedroom except for the following locations:

  • Bricker Residence: Extra mattresses to be placed in the first floor hallway by the bike room.
  • University Place: Extra mattresses to be placed in the recycling room in the basement.
